General Information:
The James Madison University (JMU) Office of Admissions is accepting applications for a Visitor Relations Coordinator.
The successful applicant will be a professional with supervisory, customer service and administrative experience and knowledge. The Visitor Relations Coordinator will contribute to a team environment, yet be able to work independently and exercise sound judgment. The ability to quickly learn and follow university procedures is essential to completing hiring and supervisory paperwork and event coordination. The successful candidate will also demonstrate the ability to take initiative and excel at multi-tasking in a fast-paced, collaborative office environment. The four major elements of this position are managing visitor interactions, staff supervision, technology management and assisting in managing visitor center day to day operations.
Duties and Responsibilities:
The Visitor Relations Coordinator is responsible for managing the Admissions Visitor Center and email communications to provide top notch customer service and first impressions of James Madison University for any interested student or visitor.
- Be the main point of contact for Office of Admissions visitors and coordinate responses to email communications from prospective students and interested parties
- Manage student front desk staff for the Visitor Center
- Responsible for all hiring, training, scheduling and supervision of student staff, including front line staff and student supervisors
- Responsible for maintaining tasks and roles for all student front desk employees
- Responsible for overseeing all work related communication efforts of front desk staff, including but not limited to emails, post cards and phone calls.
- Maintain and manage technology assets in the Visitor Center to include, but not limited to: digital signage, VR hardware, visitor kiosks and all event related computer hardware
- Assist the Associate Director in overall management of the Visitor Center
- Be responsible for inventory management of all brochures, give aways and other related items in the Admissions Visitor Center and communication with the Admissions Marketing staff regarding inventory and ordering
- Be responsible for inventory and ordering of all free beverage items for guests, as well as related wares
- Serve as a liaison with Housekeeping and Facilities Management for the upkeep of the Admissions Visitor Center
- Assist in event management for all Office of Admissions events, both daily events and larger scale events
- Must be available to work Monday-Friday 8am to 5pm, with infrequent Saturday and evening responsibilities
Qualifications:
Required
- Excellent interpersonal skills to communicate effectively in person and by telephone with a variety of publics;
- Ability to use independent judgment and professional discretion when responding to inquiries and dealing with stressful situations in a professional and confidential manner.
- Exceptional computer skills with an expectation of in-depth knowledge of relevant software such as Microsoft Office
- Knowledge of computer and related hardware with regards to maintenance and upkeep
- Knowledge of standard office administrative practices and procedures
- Exemplary organizational and planning skills
- Excellent verbal and written communication skills
- Ability to gather information and solve problems
- Sincere interest in and ability to work well with college-aged students
Additional Considerations
- Experience in customer service and/or high volume office setting
- Knowledge of JMU specific admissions procedures and processes
- Knowledge of the Harrisonburg City/Rockingham County area and community resources
- Experience with data management systems like PeopleSoft
- Experience with creating and managing digital content
