Primary Responsibility

Under the general supervision of a designated leader, the Senior Enrollment Services Specialist/Administrative Technician’s primary role is in support of academic and student services functions. Duties are performed using either established standard guidelines and/or procedural methods, or improvising solutions and alternatives.

Primary duties include: work closely with the Assistant Dean of Instruction, student affairs, and faculty to create semester class schedules, support adjunct faculty credentialing and onboarding, build course sections, process adjunct contracts and non-instructional pay, review and verify course syllabi in canvas, serve as a resource and support for faculty with technical, operational, and materials needs, coordinate the learning materials program, and work in collaboration with other campus team members to coordinate programs and events.

This position represents Colorado Mountain College at their campus and at off campus events. In coordination with the designated leader, incumbent will apply knowledge of programs, procedures, and policies to provide administrative support and assistance in a student services function, coordinating the enrollment and registration of prospective, new and current credit and non-credit students. Incumbents will serve as the front-line personnel for the campus, answering the main campus phone line, and assisting walk in members of the community, potential students, current students and parents. The incumbent will be responsible for general office management such as purchasing office supplies, maintaining the campus room use schedule, and issuing student and employee IDs.

Pre-requisites for Position (Qualifications Standards)

Education and experience sufficient for the rigors of the position. Examples include a Bachelor’s Degree from an accredited institution and two years related work experience; or, Associate’s Degree and three years related work experience, or High School Diploma/GED and four years related work experience or equivalent education and experience that will provide the necessary knowledge, skill and abilities to perform the functions of the position. Previous admissions and recruitment experience preferred.

Special Skills or abilities related to position: Knowledge of a variety of standard administrative and business methods and procedures; standard Microsoft Office software, and familiarity with other automated systems software such as Workday, beneficial. Ability to read, write, speak, and understand English well; operate variety of office equipment; proficient in computer applications, including word processing, spreadsheets, and electronic mail; multi-task; meet deadlines; strong verbal, organizational, and interpersonal skills. Ability to maintain confidentiality at all times. work cooperatively with internal and external parties; develop and organize events; strong written, verbal, and presentation skills; analytical and interpersonal skills; and the ability to multitask.

Hiring range = $53,806.24 – $59,784.71 ($25.87 – $28.74 hourly) annual salary depending upon a combination of education and experience. Benefits include Medical, Dental, Vision, Life Insurance, Pet insurance, retirement contribution, tuition reimbursement, annual & sick time, mental health resources, healthy lifestyle benefits, affordable transitional housing may be available to the successful candidate based on eligibility and availability, relocation if applicable. CMC utilizes a wage progression compensation model that accounts for a candidate’s skill and experience. Although a salary range is listed, salary will be set commensurate with the successful candidate’s qualifications and in compliance with the Equal Pay for Equal Work Act.

Minimum Qualifications:

Essential Duties

Recruiting, pre-enrollment, and student services activities such as:

  • Works closely with other departments to provide services to onboard new students.
  • Assists with the development and coordination of admissions processes and procedures.
  • Assists in student recruiting and pre-enrollment follow-up; follows-up with prospective students via phone and email.
  • Evaluates and processes admissions applications including determining residency status.
  • Schedules and conducts tours and other events to bring students to the campus.
  • Other duties as assigned.

General Student Services Coordination and Front Office support activities such as:

  • Assist with Front Line Financial Aid Counseling, including FAFSA assistance; general counseling on financing options; provides FA Self-Serve support and guidance, serves as back up for Financial Aid.
  • May serve as a lead for front desk staff, admissions staff and/or supervise work study students.
  • Performs other duties as assigned.

General Academic Affairs Coordination activities such as:

  • Serves as resource and support for faculty with technical, operational and material needs.
  • Works in partnership with the Assistant Dean of Instruction and student affairs to create semester class schedules, supports course programming and scheduling; prepares and/or assists in development of instructional materials, builds course sections.
  • Develops and maintains schedules; may schedule and proctor tests.
  • Coordinates programs, projects, events, special activities, including but not limited to student and faculty orientations and in-services, and the Learning Materials Program, including textbook adoptions, desk copy requests, and assisting with student return of textbooks.
  • Enters data; processes forms and documents including adjunct faculty contracts and non-instructional pay; tracks data; prepares reports; schedules faculty use.
  • Administers building security systems: issues or coordinates badges; prepares, maintains, verifies, and distributes documents and records. Maintains adjunct faculty records, reviews and coordinates updates and all required documentation and information for campus adjunct faculty credentialing process. supports adjunct faculty hiring and onboarding, reviews and verifies course syllabus for all credit adjunct faculty, provides information and/or training for adjunct faculty; handles front office procedures.
  • Maintains confidentiality in accordance with FERPA and all other policies and guidelines. Provides general clerical/technical support to faculty, staff, and administration.
  • Serves on committees.
  • Performs other duties as assigned.

Supervision Received

This position receives direction from a designated supervisor.

Supervisory Responsibility

Position serves as a lead for front desk staff, admissions staff and/or supervise work study students.

Special Conditions of Employment

Successful completion of a background check including motor vehicles records report will be required. Incumbents in this position will adhere to all safety and compliance policies of Colorado Mountain College while performing all duties assigned. May require travel within the college district. Altered work schedule and/or occasional evening/weekend hours required.

Working Conditions

This position requires constant sitting, occasional walking, standing and driving; occasional handling objects, pushing/pulling; frequent reaching with hands/arms, and use of finger movements; occasional lifting, carrying, pushing or pulling objects up to 50 lbs. Constant written and oral communication and the ability to reason and analyze and perform calculations occasionally. Work is performed using a computer and standard office equipment daily and driving a vehicle occasionally.
