Required Qualifications (as evidenced by an attached resume):
Bachelor’s degree (foreign equivalent or higher). Three (3) years of full-time experience in higher education administration. Advanced proficiency in computer softwares such as Microsoft office suite. Experience collecting statistics and creating reports. Calendar and/or schedule management experience. Supervisory experience.
Preferred Qualifications:
Master’s degree (foreign equivalent or higher). Four (4) or more years of full-time experience in higher education administration.
Brief Description of Duties:
- Manage Admissions Process and Office Staff:
- The position oversees daily operation and coordination of all business and personal aspects of the Office of Admissions, including the supervision and training of the administrative staff and support personnel.
- Supervise admissions effort under the direction of the Associate Dean for Admissions.
- Coordinate Special projects as the request of the Associate Dean for Admissions.
- Liaison to RSOM Programs:
- Medical Scientist Training program (MSTP) – liaison to Program Director and Coordinator of MSTP. Maintain all statistical data for both the Associate Dean and MSTP department.
- 3YMD program- liaison to 3YMD Program Director and Coordinator, and provide information on accepted students interested in the 3YMD program. Maintain all statistical data for both the Associate Dean and 3YMD Program.
- Combined MD Programs- liaison to directors and administrators of Masters in Business Administration (MBA, Masters in Public Health (MPH), and Masters in Medical Humanities. Provide information to these programs about accepted students interested in pursuing any of the aforementioned combined programs.
- Liaison to Other Programs – responsible for maintaining and overseeing communication with the following programs:
- Scholars for Medicine
- SUPREMES
- AMSNY
- Any additional Pipeline Programs
- Outside Universities and colleges that offer pre-medical coursework and refer medical school applicants to RSOM.
- Support for Committee on Admissions:
- Together with Associate Dean for Admissions and Faculty Chair, COA, will be responsible for staffing Faculty and medical student members each year.
- Will maintain and update yearly roster of members.
- Will coordinate “New Members” meeting, schedule Dean’s charge meeting, as well as prepare important handouts and updates for new and returning members.
- Will also organize the annual end of year COA dinner.
- Support for Executive Subcommittee:
- Together with Associate Dean for Admissions will review all interviewed applicant files before a final status decision is rendered by the Executive Committee.
- Will coordinate meeting times of the Executive Committee and communicate with members to assure that a quorum will be present at meetings.
- Other Admissions Processes:
- Will supervise the processing of acceptances.
- Communicate with the Office of Student Financial Services regarding a student’s residency status.
- Supervise processing and vetting of Criminal Background Checks (CBCs).
- Supervise the collection and vetting of all final official transcripts.
- Supervise the matriculation day (first day of orientation) of all accepted students, and update the AMCAS National database as appropriate.
- Special Events Coordinator– will be responsible for overseeing the following:
- Accepted Students Days – 2 programs held in April each year for all accepted students to visit the RSOM and learn about the Curriculum, Financial Aid, Student Life, school and hospital facilities. Coordinate meetings with students, faculty deans, and student groups.
- Pre-orientation – program held in June for accepted students who plan to matriculate in August. Provide information and experiences that will help prepare incoming students.
- Scholars for Medicine (SFM) Meet and Greet- coordinate an annual (early fall) reception to welcome the new SBU undergrads accepted into the SFM program. Liaison to the various Honors Programs (Honors College, WISE, University Scholars) administrators.
- Other Responsibilities:
- Speaking engagements – together with Associate Dean for Admissions represent the RSOM at various local, regional, and national meetings and forums related to medical education, and more specifically admissions. Host zoom informational sessions with colleges and universities. Provide informational sessions regarding medical school admissions to Suffolk Academy of Medicine, PACE Program, SBU, Black Men in White Coats, to name a few.
- Turner Fellowship Nomination Process – together with the Associate Dean for Admissions, select and nominate 5-10 accepted students to the Turner Fellowship Committee. Provide application, and track outcomes.
- White Coat ceremony program- responsible for overseeing the order of white coats, and create an accurate list of the incoming medical student’s names and colleges attended for the White Coat Ceremony Program.
- Data and Statistical Analysis- responsible for preparing reports that include pertinent data for the Associate Dean for Admissions, COA, Dean’s Office, and other Various University Offices.
- Legacy Report – maintain a list of applicants who are affiliated to RSOM through faculty or alumni affiliations. Provide information to Associate Dean and Executive Committee regarding legacy applicants.
- Oversee matters related to office budget and procurement.
- Communications – prepare annual infographic for entering class as well as various pamphlets for prospective candidate to the RSOM.
- Other Duties as assigned.

The Research Foundation of SUNY is a private educational corporation. Employment is subject to the Research Foundation policies and procedures, sponsor guidelines and the availability of funding. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
