The Kelley School of Business, MBA Program, located on the Indiana University Indianapolis campus invites applications for a Program Assistant/Recorder (Admissions Assistant). The MBA program within the Kelley Graduate Program office suite, is centrally located on the beautiful urban IU Indianapolis campus.

Job Summary

The Program Assistant/Recorder will provide representation for the Kelley School of Business MBA graduate program on the IU Indianapolis campus to prospective students, current students, faculty, and visitors by telephone, email, and in person by providing excellent customer service utilizing multiple communication processes.

Department-Specific Responsibilities

  • Coordinates and processes MBA applications.
  • Organizes, updates, and maintains program databases and prepare reports as needed.
  • Acts as liaison between students and campus offices (International Affairs, Registrar, Financial Aid, Bursar, and Graduate Office) and provide administrative support for the MBA Academic Program Office.
  • Manages Certification of Program Requirements, completion of major selection and conferral of degrees.
  • Coordinates the transfer credit process.
  • Serves as primary contact for the program office reports used internally and externally.
  • Maintains and updates program’s requirements in University system, course scheduling, facilitates student registration and enrollment and room assignment coordination.
  • Provides administrative support for the planning and organizing of special events; May need to attend special events outside normal business hours.

General Responsibilities

  • Oversees the processing and evaluation of all applications for admissions into that school and accompanying material, such as transcripts, to determine eligibility.
  • Maintains records and databases of applications; updates and purges as necessary; gathers and collates information from records and prepares reports.
  • Reviews applications for completeness, contacts applicants for any missing information or to resolve discrepancies, and obtains any necessary information from other sources.
  • Schedules and oversees any applicant interviews.
  • Makes recommendations regarding admissions and financial aid decisions; contacts applicant regarding the decision on the admission application.
  • Responds to phone and email inquiries on admissions process and status of applications; may assist in the design of recruiting events and materials.
  • Counsels potential students regarding courses and grades required for admission.
  • May supervise temporary staff in the admissions office; monitors and evaluates job performance.
  • Maintains files and databases on students admitted into the school; generates reports based on this information.

EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED)

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

Additional Information

This position will start in January 2025.

Work Location

This position is eligible to work a hybrid schedule (mix between remote and in-person work), subject to change in the future based on university policy and business needs.

Work Hours

8:00 am – 5:00 pm Monday through Friday

A few special events are held outside of normal business hours.
