Job Summary:

The Enrollment Specialist (ES) provides
front-line support in the university’s Enrollment Services Center. The ES manages inquiries, supports student registration, records, and
financial aid processes, and ensures smooth operations in a one-stop shop environment. They handle student accounts, process payments,
resolve disputes, and safeguard student records, while also maintaining compliance with university policies and privacy
regulations.

Duties & Responsibilities:

  • Manages the Registrar counter, phone, and email inquiries. Ensure timely and efficient
    response to customer inquiries and provide necessary support.
  • Maintain ID Selfie email account.
  • Provides guidance,
    scheduling, training, and enforcing policies and procedures. Ensure adequate coverage and efficient operation of the Enrollment Services
    Center.
  • Provide support and processing for various student-related services, including registration, student records, substitutions,
    academic advisement, refunds, classroom assignments, and inquiries from the National Student Clearinghouse.
  • Processes requests for
    course registration overrides, transcripts, program evaluations, transfer credits, changing majors, assigning advisors, issuing statement of
    accounts, answering phones, scanning, grade changes, classroom assignments and National Student Clearinghouse inquiries
  • Provide
    information and assistance related to financial aid, including FAFSA applications, eligibility, disbursement of aid, cost of attendance,
    types of aid, payment options, and billing inquiries.
  • Process payments and update student’s records accordingly, provide and explain
    student account balances as requested, balance daily sessions and secure daily session in safe
  • Process collection reporting for
    delinquent records as needed. Collaborate with students to address outstanding balances and resolve payment issues.
  • Process
    registrations and exceptions for non-traditional courses.
  • Issue new and replacement ID cards, assign building access and add
    monetary value to the card.
  • Prepare reports as requested by the campus community, ensuring accurate and timely dissemination of
    information.
  • Troubleshoot, analyze, and resolve disputes in collaboration with the campus community.
  • Provide proactive
    solutions to improve support services and resolve issues effectively.
  • Addresses graduation and diploma inquiries
  • Manages
    Regalia for Commencement
  • Attend meetings, conferences, and workshops to stay updated on issues relevant to the Registrar’s Office
    and Enrollment Services. Stay informed about university, departmental, federal, and state regulations related to enrollment and student
    records.
  • Maintain the integrity and security of academic records, ensuring compliance with privacy regulations and safeguarding
    sensitive student information.
  • Exercise good judgment in identifying and escalating complex issues to supervisors for further
    resolution.
  • Demonstrate sensitivity to cultural diversity and effectively communicate and interact with individuals of all ages and
    identities.
  • Perform other duties as assigned.

Pay Range: $19.23- $21.98 per hour

Qualifications

Qualification Standards:

  • Experience in higher
    education administration, preferably in Student Accounts, Financial Aid, or Registrar; familiarity with registration, FERPA, and
    collaboration with the administration.
  • Proficiency in Microsoft Office, Google Workspace, Ellucian Colleague, Entrinsik Informer,
    Image Now, and EAB.

Education:

  • Bachelor’s degree preferred.

    and ability to perform multiple tasks in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability
    to learn and adapt to new systems quickly.

Working
Conditions:

  • Full-time in person position; 35 hours per week/52 weeks per year. In addition to regular business hours, occasional
    evening and/or weekend hours during add/drop, graduation and open house may be needed.
