As part of the Admissions Operations Team, this position is the primary point of contact for the practical coordination of all on campus visits; builds and maintains event schedule in Slate and manages changes, special requests, and adjustments as needed. Assists in the supervision of tour guides; provides support for on campus and virtual open house programs; and other duties.

This position is the face of Alfred University and is often the first person prospective students and families encounter. Directly reports to the Director of Enrollment Operations and works closely with the Visit Events Coordinator. Also supports all counselors with individual events and interviews, both virtual and in person.

Salary/Rate:$16.00-$17.00, 35 hours per week

Essential Functions:
This position has no supervisory authority, but does aid the Visit Events Coordinator in the oversight and training of student workers, particularly on Front Desk Coverage.

  • Maintain a professional and welcoming lobby-clean, organized, and well labelled
  • Primary Phone Coverage -Answer incoming calls and assist callers with accurate information or call transferring
  • Manage the CampusVisits email in box responding to visitors, coaches, and other requests and messages as required, including the Visit Events Coordinator and Admissions Counselors as appropriate
  • Build relationships with offices outside of admissions – including financial aid, faculty members, the president’s office, public safety and athletics in order to work across campus to curate the individual visit experience
  • Work with the Visit Events Coordinator on the building and maintenance of the events and visits calendar in Slate
  • Work in collaboration with Visit Events Coordinator, the President’s office and Alumni Relations on VIP visits or donors and with Human Resources and faculty committees to arrange tours for potential new hires
  • Communicate confirmations, cancellations, and changes to scheduled visits to appropriate campus offices
  • Make confirmation calls to families with scheduled visits and record or follow up with any changes or concerns
  • Communicate with public safety and facilities to ensure that campus is safe and attractive to visitors
  • Stay up to date on all national, statewide, and university wide policies, procedures and processes for visitors on campus including weather closings, travel restrictions and policies etc.
  • Additional clerical or administrative support to the operations team as assigned – including updating address information, consolidating duplicate records and data cleanup as needed
  • Upload Financial Aid packages to the student Slate records after they are released by the Financial Aid office
  • Arrange the drop-off and pick-up of mail daily and sign for packages when needed

  • Maintains a safe working environment within and around their facilities and associated equipment and supplies including, but not limited to, obtaining Safety Data Sheet (SDS) information pertaining to any hazards associated with their work environment
  • Participates in all required assigned training, including safety training and will comply with safety rules, regulations, and protocols
  • Effective written and oral communication skills
  • Contributes to the overall success of the University by performing other duties as assigned

Qualifications – Education & Experience, Knowledge, Skills & Abilities:

  • Formal Education:
    • High school diploma required, post-secondary educational experience preferred
  • Experience:
    • 2+ years’ experience in Higher Ed or Hospitality office. Experience in an office setting and expertise with handling confidential information required
  • Additional Knowledge/Skills:
    • Excellent oral communication skills; strong typing skills; ability to prioritize and multi task in a chaotic environment; ability to work independently as well as part of a team; familiarity with Microsoft office suite, knowledge of database management
  • Essential Functions:
    • With or without reasonable accommodations the incumbent must be able to read and write and speak the English language at a college level
    • Be capable of performing sometimes complex mathematical calculations, statistical calculations and other higher mathematical operations
    • Must be able to communicate with all levels of the institution in written and spoken form
    • The individual must be able to work independently
    • The ability to maintain regular and prompt attendance is essential to the successful performance of this position
    • Other essential functions may be required

Physical Demands & Work Environment:
Position requires significant typing and comparing data on multiple monitors Physical effort/lifting is primarily sedentary, but may require light to moderate lifting (up to 30 lbs) for mailing or event materials.

Some weekend Admissions event coverage may be required.

Personal Protective Equipment must be worn when required. A respiratory function test and the ability to use respirators may be required. Stairs and uneven surfaces may be present; artificial lifts, etc. may or may not be available. The position may require the incumbent to walk outdoors in all types of weather to other buildings or offices located on the campus. The Campus is located in an area that contains numerous hills and slopes and may not always be fully accessible for mobility impaired individuals.
