Job Title: Admissions Coordinator and DSO

Department: Admissions

JOB SUMMARY

As the Admissions Coordinator and DSO at CIAM,
you will play a pivotal role in facilitating the admissions process from initial inquiry to enrollment. Your primary responsibility will be
to ensure a smooth and efficient process for prospective students, guiding them through each step and providing necessary support and
information. This role demands a blend of administrative prowess, interpersonal skills, and a deep understanding of our program offerings
and admission requirements. This position reports to the Vice President of Operations.

ESSENTIAL RESPONSIBILITIES

The duties listed below represent a range of responsibilities assigned to this position. These are not exhaustive and may
be adjusted based on departmental needs.

  • Admissions Process Support:
  • Process leads and applications,
    ensuring all required documentation is accurate and complete.
  • Assist with the preliminary screening of prospective students to
    verify eligibility.
  • Provide data entry support for application processing, ensuring accuracy and efficiency.
  • Collaborate
    with the International Agent and Assistant Director of Admissions to facilitate the timely completion of student application files,
    including obtaining test scores, transcripts, and other relevant documents.
  • Review applications, make admissions decisions, and
    communicate outcomes (send acceptance or denial letters) to applicants.
  • Student Interaction:
  • Provide
    information to prospective students regarding the admissions and application process via phone, email, and chat.
  • Assist students in
    navigating the application process, resolving obstacles, and completing necessary forms and documents.
  • Schedule appointments and
    refer students to appropriate admissions staff as needed.
  • Maintain knowledge of CIAM’s academic programs, admissions
    requirements, and ability to communicate all school-related information with potential students as needed.
  • Record
    Management:
  • Maintain excellent recordkeeping and data entry for all admissions inquiries and prospective students, both
    digitally and physically.
  • Ensure all records are confidential and organized for efficient retrieval and compliance.
  • Maintain an organized workspace with all forms and publications readily available for use.
  • Customer
    Service:
  • Provide exemplary customer service to students, staff, and other stakeholders.
  • Act as a point of contact
    for general admissions inquiries, ensuring prompt and accurate responses.
  • Collaboration and Communication:
  • Share pertinent student information and updates with the admissions team to ensure alignment and effective coordination.
  • Manages and develops key partnerships with outside agencies and schools to maximize the recruitment of students.
  • Represents the
    University to the Mandarin/ Chinese speaking community via Radio shows, speaking engagements or networking events to educate potential
    students and organizations about CIAM.
  • Assists with building relationships with Chinese agencies to recruit international students
    to CIAM.
  • Builds relationships with and identify potential English language schools to ensure potential students have a path to
    meeting CIAM English proficiency standards.
  • Orientation and Onboarding:
  • Assist with the coordination and
    execution of new student orientation programs.
  • General Administrative Duties:
  • Perform clerical tasks,
    such as answering phones, managing emails, and maintaining office supplies.
  • Support the Admissions team with additional duties as
    assigned.
  • Check students’ enrollments, verify international agent commissions, and communicate relevant information to the
    Accounting Department.
  • DSO:
  • Facilitate connections between accepted students and the Registrar and DSO
    offices.
  • Processes initial, change of status, and transfer I-20 forms, forwarding completed documents to students via email.
  • Maintain communication with initial and change of status students to provide updates on their visa status.
  • Other duties as
    assigned

MINIMUM QUALIFICATIONS

  • Strong understanding of admissions processes and
    requirements.
  • Excellent organizational and data management skills.
  • Proficiency with modern office software and computer
    equipment.
  • Exceptional written and verbal communication skills.
  • Demonstrated ability to provide outstanding customer
    service.
  • High attention to detail and ability to manage multiple tasks efficiently.
  • Experience in a higher education
    admissions office is preferred but not required.

Salary will be commensurate with

ANNUAL SAFTEY AND SECURITY REPORT

CIAM’s
Annual Safety and Security Report 2018-2020 report is available to you. This report is required by federal law and contains policy
statements and crime statistics for the school. The policy statements address the school’s policies, procedures and programs
concerning safety and security, for example, policies for responding to emergency situations and sexual offenses. Three years’ worth
of statistics are included for certain types of crimes that were reported to have occurred on campus, in or on off-campus buildings or
property owned or controlled by the school and on public property within or immediately adjacent to the campus. The report is available online. You may also request a paper copy from the Student Services/ Title IX
office.

SALARY RANGE

$50,000 – $55,000/yr.
