OVERVIEW
AND SCOPE OF TEAM AND/OR TASKS

Under the
direction of the Colorado Mesa University (CMU) Director of
Admissions, the
Admissions Business Manager & Tuition Classification Officer will serve as
a key member of the department. The
position will be responsible for various
business operations, with primary accountability and responsibilities in:

Departmental Budget Management:

  • Utilizes Ellucian Banner to access budget data and produce regular
    reports for review
  • Tracks expenditures and account balances, including monitoring outstanding invoices
  • Creates reports to
    determine availability of funding in specific accounts and for specific projects
  • Assists with fiscal budget planning by providing
    accurate and timely expenditure reports, and estimates of changes and/or new initiatives
  • Oversight of the CMU One Card process for
    the department
  • Works closely with appropriate departments (including the Budget Office, Accounts Payable, Purchasing, Payroll) to
    troubleshoot discrepancies and any other related processes or procedures
  • Works closely with Purchasing Director to determine
    appropriate forms and procedures for paying vendors, to include Direct Requests, Purchase Requests/Purchase Orders
  • In collaboration
    with office leadership, assesses departmental needs and prioritizes purchasing and contracts; seeks all required approvals for purchases and
    provides ideas for efficiencies and improvements.

Supply Management

  • Responsible for organized
    storage of all office supplies and performs regular inventories
  • Serves as the point person for coordination of all purchases of
    supplies, materials, printing projects, mailing (incoming/outgoing), shipping (incoming/outgoing), office equipment and technology, and
    repairs and maintenance
  • Works individually with staff members to plan purchases related to role responsibilities
  • Suggests
    ways to consolidate purchases across projects and/or department-wide
  • Communicates and coordinates with multiple departments on
    campus including; IT department for purchase or replacement of all computers and related devices, cellular and office phones, and related
    service contracts; with Purchasing for contracts, purchase orders, and copier maintenance, replacement and supplies; and with Facilities
    Services regarding any cleaning and maintenance needs for department work areas

Travel Management

  • Coordination of all aspects of travel management
  • In collaboration with the Associate Director of Admissions, supports
    college fair and recruitment activity registration as part of the budget management process
  • Monitors and tracks paid recruitment
    activities
  • Regularly reviews travel expenses and reports to ensure budget alignment and timely payment to traveling staff
    members
  • Collaborative work with the CMU campus travel team to ensure policies and processes are aligned

Hiring, Onboarding and Offboarding Support

  • Serves as the point person for coordination of all administrative
    onboarding & offboarding responsibilities
  • In collaboration with the position hiring manager, works closely to complete all necessary
    administrative tasks for new & exiting employees
  • Manages and updates all process documents supporting the onboarding of new
    employee

Residency and tuition classification for new and current students

  • Assists future and
    current students with CMU and State of Colorado requirements, deadlines and procedures for applying for reclassification of residence status
    and corresponding tuition rates
  • Participates in making decisions for determining residency for tuition purposes, including the
    review of application errors, denials, and appeals
  • Serve as CMU’s internal point of contact for questions related to residency
    requirements, and policies and procedures for reclassification
  • Provides training to Admissions staff members and campus constituents
    about residency and tuition classification
  • Implements the Western Undergraduate Exchange (WUE) and Mountains and Plains (M&P)
    tuition discount programs, including WUE policy review and campus constituent trainings

The person
in this role will be
expected to focus on identifying areas for improvement,
developing, implementing, and documenting efficient processes, and
successfully
utilizing systems to support position responsibilities. Other duties may be
assigned as needed by the department.

  • Working knowledge of, or ability to learn,
    Banner (SIS), Slate (CRM), Source 360 (Budget Tool)
  • Experience with, or ability to learn, accepted budgeting principles and
    practices and ability to present budget-related data in an understandable manner
  • Ability to develop supply management and
    organizational strategies to positively impact departmental inventory and productivity
  • Experience with, or ability to learn,
    Colorado Mesa University and State of Colorado residency requirements
  • Ability to collaboratively develop policies specific to the
    role that impact departmental effectiveness
  • Ability to analyze data and determine the best course of action
  • Ability to
    prepare and present reports to key collaborators and management
  • Ability to conduct work outside of the regular work hours and travel
    as needed
  • Flexibility to juggle multiple priorities and access large amounts of information readily

Ability to present
complex information in an understandable manner to team members and leaders, including executives, directors, and
managers.

ESSENTIAL
EXPERIENCE FOR RIGHT FIT

  • Bachelor’s degree from an accredited
    institution
  • 2+ years of experience in business or operations management or equivalent (experience gained as a student will be
    considered)
  • Proven ability to multi-task critical deadlines with minimal direction
  • Proficiency in Word, Adobe Acrobat, and
    Excel
  • A valid driver’s license is required.
