The Office of Admission at Wesleyan University is a part of the Admission and Aid department. The Office of Admission serves as the hub of activity and point of first contact for the university for thousands of prospective students and families. The admission team is responsible for generating, processing, and reviewing over 14,000 first-year and transfer applications per year and hosting over 15,000 individual visitors on campus annually while promoting the university virtually and hosting events all over the world.
Reporting to the Manager of Enrollment Operations and working closely with the Director of Admission, this position provides administrative support for various phases of the applicant cycle from prospect to matriculation. This includes uploading data, processing applications, answering application related emails, and providing primary administrative support for Transfer applicants and Freeman Scholars.
Responsibilities include:
- Use Slate (CRM) to upload and enter prospect/inquiry data; track application completion and communicate application status with applicants, matriculants, and school officials.
- Use Slate, to troubleshoot data and application entry. Manage application fees and fee waiver requests.
- Oversee applicant email account, effectively and efficiently answering a high volume of emails; and provide office support for other accounts.
- Communicate with transfer applicants, providing counseling and support, and timely communications on application status; Liaise with the Registrar’s Office regarding credit evaluation for transfer and veteran applicants.
- Communicate closely and effectively with other University departments, and highly diverse constituent groups, to obtain or provide information.
- Serve as the primary support for the Freeman Asian Program. Manage application submissions, gather interview documentation, and serve as a point of contact for Alums, parents, and students when needed.
- Ensure emails are answered in a timely fashion while overseeing the admission@wesleyan.edu email inbox.
- Use the Slate CRM to create events, monitor applications, produce reports, maintain statistics, and communicate with our constituents as needed.
- Provide phone support as a member of the office phone coverage team.
- Serve as back-up administrative support for the Office of Financial Aid as needed.
- Additional duties as assigned.
This position is in the secretarial/clerical bargaining unit. This position works 35 hours per week for 52 weeks per year.
Minimum Qualifications
- Associate degree and a minimum of two years related experience or an equivalent combination of education, training, and experience.
- Effective communication and interpersonal skills.
- Familiarity with creating, running, and reading reports.
- Experience with Microsoft Office programs including Outlook, Excel, Word, and PowerPoint.
- Ability to enter and maintain data in a Customer Relationship Management (CRM) or similar relational databases.
- Strong organizational skills and the ability to coordinate work priorities, demonstrate initiative, efficiency and follow through with minimum supervision.
- Proven ability to manage multiple tasks with attention to detail.
- Demonstrated ability to provide superior customer service.
- Ability to provide effective and accurate written responses to constituent inquiries.
- Comprehensive research skills.
- Demonstrated ability to handle confidential matters with discretion.
- Demonstrated commitment to work within a diverse environment and interact openly with individuals of different backgrounds.
Preferred Qualifications
- Previous Admission experience.
