Job Description:

Under general supervision, this position will coordinate and monitor the integration of the student data and communication system for the Department of Undergraduate Admissions. Coordinate and implement imports, exports, and communication filters for the communication system. Provide lists and reports for departmental and division use. Process applications and determine admission status.

RESPONSIBILITIES

Responsibility #1:

Coordinating and implementing the imports, exports, and communication filters for prospective student data from various sources into and out of the CRM system.

  • Analyze, review, and test imports and exports to verify data going into and out of our CRM are accurate. Ensure that data are monitored daily for timeliness and accuracy.
  • Coordinate, plan, and implement the importing of the ACT data submitted by prospective students.
  • Organize, prepare, and execute the importing of the purchased names from various sources, including ACT, Encoura, PSAT, and etc..
  • Monitor the importing of student inquiry information from various sources, including college fairs, high school visits, and web page “request for more information.” Analyze and review new student inquiry contacts to clean up data and duplicates.

Responsibility #2:

Process new admission applications and work with various departments both internally and externally to provide assistance and exchange of information when necessary to complete tasks.

  • Retrieve applications and correct and/or update applicant data in the student database (ISRS)
  • Retrieve electronic high school transcripts and college transcripts.
  • Link, label, and route to proper workflow queues all correspondence, transcripts, and test scores received daily and scanned utilizing imaging software.
  • Enter ACT/SAT scores and Minnesota Preparation requirements into the student database.
  • Calculate cumulative Grade Point Average (GPA) to determine eligibility for admission.
  • Review and determine if an applicant’s file is complete and determine if the applicant meets the university admission requirements. Record admission decision following written criteria and add proper codes in the student database.
  • Enter residency codes, cohorts, program codes, and advisor access codes to assist the student in the registration process.
  • Monitor and maintain the cancellation process in ISRS and imaging system for students who decide not to attend MSUM.
  • Process applications and the application fee receipts daily. Ensure students are notified of their acceptance or pending status in a timely manner.
  • Works with various department offices to initiate credit review/evaluation for completed students.
  • Works with various department offices by responding to student inquiries, gathering information, and procuring or exchanging transcripts to meet needs.
  • Ensure security of confidential office records.

Responsibility #3:

Coordinate the management and maintenance of the Admissions CRM system, including the ISRS information crosswalks, to optimize the efficiency and effectiveness of enrollment management initiatives.

  • Collaborate with IT staff to maintain integration between ISRS and our CRM ensuring that student information is loading accurately and efficiently.
  • Coordinate, compile, enter, code, and retrieve data. Have a thorough understanding of integrated databases. Provide detailed input on the design, development, and testing of all admissions modules.
  • Attend the necessary training to remain fluent in the ISRS and CRM system platforms.
  • Document procedures to maintain production control.

Responsibility #4:

Principal responsibilities, tasks, and performance indicators.

The following responsibilities do not lend themselves to any percent of time breakdown. These are behavioral responsibilities that all staff are expected to exhibit 100% of the time and are not added to the total percent of time for other responsibilities.

Minimum Qualifications:

  • Thorough understanding of integrated databases with the ability to coordinate, compile, enter, code, and retrieve data.
  • 4 years of experience in retrieving data and compiling accurate reports from a student database system.
  • 4 years of experience in maintaining and verifying system-generated programs, reports, and records as well as documenting process flows and data requirements.
  • 4 years of experience loading documents into an imaging system and routing and monitoring document workflows.
  • 4 years of experience using CRM systems.
  • Extensive oral and written communication skills as it relates to the interaction with students, parents, faculty, and staff.
  • Detail-oriented and strong problem-solving skills with the ability to follow through on tasks in a timely manner and work well with others.
  • Demonstrated understanding of Microsoft Office, especially Excel, Word, & Access.
  • Strong knowledge of customer service practices and principles sufficient to identify customer’s needs and translate these needs into actionable items.
