ORGANIZATIONAL
SUMMARY:
The Office of the Registrar leads a hub of critical services for students, faculty and staff, including student an
academic record keeping, a conflict free academic schedule, registration, graduation, data reporting and state and federal compliance to
support the University of South Florida (USF)’s educational programs.
POSITION SUMMARY:
The Enrollment
Management Analyst plays a key role in supporting students, faculty, and staff while serving as a backup supervisor to the Assistant
University Registrar. This position is integral to the full spectrum of tasks related to graduation and degree certification processing
across all academic units at One USF. The analyst utilizes advanced knowledge to resolve complex, non-routine degree application issues,
providing expert guidance on graduation and student record policies to faculty and academic support personnel. In addition to administrative
support responsibilities, the Enrollment Management Analyst ensures the timely and accurate processing of records that impact graduation.
The role requires a high degree of initiative and independent judgment in gathering, analyzing, and researching information, as well as
overseeing the verification and coding of graduation applications, degree certification, and comments on students’ official academic
transcripts. This position also serves as a liaison between the Office of the Registrar and academic departments, as well as other student
service units, to facilitate the graduation process. The analyst performs data queries and analysis, generating Power Bl reports on
graduation certification status by college, department, and student cohort. Additionally, the role involves preparing student records for
the Degrees Awarded (SIFD) submission to the Florida Board of Governors. The Enrollment Management Analyst contributes to strategic
planning, enrollment management, emergency preparedness, and compliance with state and federal regulations. The position also supports
efforts in core work enhancement, performance management, student record and data management, statistical analysis, reporting, training
documentation development, and outcome assessment.
RESPONSIBILITIES:
- Assist in managing the team responsible
for processing graduation and ordering diplomas, requests for duplicate, replacement and special order diplomas for One USF. Oversees and
monitors the online graduation application processes for all academic divisions, colleges and campuses. Compiles and maintains records of
students applying to graduate through receipt of their diplomas. Proofs Commencement programs, processes the National Student Clearinghouse
graduation file, including reinstatements, and prepares and releases degree certifications and official transcripts held for graduation.
Verifies and provides academic information about the degree certification process. Provide administrative support to the degree certifiers
in each college. Responsible for the management of all graduation applications in the student information system. Proofs and edits the
Commencement program. Helps validate degree data included in the degree file submitted to the National Student Clearinghouse. Services as
diploma Notary for all degrees. - Generates Power Bi data reports and analyzes potential graduates and certification statuses by
college, department and student cohort. Also assists in preparing records for the Degree Awards (SIFO) submission to the Florida Board of
Governor. Coordinates and helps track the graduation status updates from all academic colleges within the university. Develops and
implements practices and procedures to improve the speed and accuracy of the graduation certification process, ensuring full compliance with
institutional policy and Florida Board of Governor policy and procedures. Provides input regarding enhancements for system changes. Assists
in the develop of new functionality, manage upgrades and system modifications. Analyzes tracks and resolves issues related to graduation and
degree certification. Collaborates with academic administrators, Undergraduate and Graduate Studies to research, resolve or make a
recommendation to correct errors or answer questions about graduation certification. Serves as critical partner to the Commencement Office,
University Bookstore and other campuses concerning graduation eligibility, student participation. - Manages diploma order weekly
submission. Responsible for monitoring student holds and releasing diplomas and transcripts based on students status. Assists with posting
graduate certificates. Processes Honorary and In Memoriam degrees. Processes and resends returned diplomas. Responsible for authenticating
the validity of diplomas awarded by the institution and updating expected graduation dates. Responsible for assisting in posting approved
leave of absence and processing time unit extensions and posting doctoral candidacy admits and processing concurrent degree request and all
other curriculum classification code issues associated with the graduation student record. Councils customers and resolve issues by
providing information on university policy and procedure through telephone, email, and in person inquiries; answers and manages the review
of several email boxes for the URO ensuring issues are appropriately escalate for timely resolution. - Processes daily audit reports.
Posts non-course requirements such as the Foreign Language Entrance Requirement exceptions, Foreign Language Exist Requirement, Summer
Waiver and Civic Literacy codes in Banner. Assists in the mass update of graduation statuses when notified of completion by academic
colleges. Processes Letters of Completion to confirm degree conferral. Responsible for changing expected graduation dates as requested.
Generates the honors list to disseminate to the bookstore for the honor medallion distribution. Leads area in document imaging by scanning
documents and attaching them to the student record which include relevant documents used to verify degree certification and document student
and staff communications for audit purposes. - Performs all work with confidential and sensitive student information under observance
of the Family Educational Rights and Privacy Act (FERPA), and other federal and State guidelines. Informs the individuals working with
confidential student information about legal restrictions, privileges, and ethical considerations surrounding its use. Supports the mission
of Strategic Enrollment Management and the URO, including serving as an outstanding team member by assisting colleagues in high volume
periods and serving as supervisor in the absence of the Assistant University Registrar. Updates professional knowledge by attending
professional meetings, local and state conferences, and training sessions at the request of the University Registrar, and actively
contribute to the ongoing editing of the office procedures in the office Wiki. Regularly updates Assistant University Registrar on status of
projects, highlighting important issues and areas concern. Serves as institutional committees at the discretion of supervisors and the
University Registrar. - Performs other duties as assigned.
MINIMUM QUALIFICATIONS:
This position
requires a Bachelor’s degree in related field with one year of related experience, or five years of related
experience.
FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor’s
degree.
PREFERRED QUALIFICATIONS:
Prior experience in higher education, with a strong familiarity with the
Florida Board of Governors regulations governing public universities. Proven ability to develop, identify, and manage multiple priorities in
a fast-paced, deadline driven environment while providing exemplary customer services. Demonstrated expertise in decision-making, problem
solving, organizations skills, and research capabilities.
